Artisan Fiesta

Post image for Artisan Fiesta

The Artisan Fiesta brings together many of the island’s fine artists to showcase their work to your guests. Each artist is on hand with many gifts that are made at the selected pre-purchase price you determine. We take care of all the details- staffing, gazebos, merchandise, and decoration to ensure a truly terrific event and gift. It’s a celebration of island art!

Set-up and Decor There are two options available:

Tropical Gazebo: The artists will be stationed around the Gazebo tent in a semi-circle where their artwork will be professionally diplayed and they will do demonstrations of their work (as applicable) and talk with the guests about their work.
• A 15 x 15 tented Gazebo as pictured. We have several tents available to assist in serving all group sizes and time frames.

Table Set-up: We will set up tables, with minimal decoration with a tropical touch. Two of our wooden Tiki statues will be placed on either side with a display area of the various items.

Vouchers
Vouchers or certificates can be provided within the Registration Packets. We have many examples to show you, and are happy to design a voucher specifically for your group, or we can use a design of yours.

PricingSet-up:
• Tables Set-up/Décor: (based on 3 artists)
• Tropical Gazebo, Set-up and Décor: (required for 200+ groups)
• Double Gazebo, Set-up and Décor: (required for 500+ groups)

Staffing:The amount of staffing and the set up requirements can vary depending upon the duration of the event. For example, if done in conjunction with registration and have been “open” for the whole day, we can staff with fewer people as the traffic flow may be light and staggered. Other times we have done it in a couple of hours and needed more staff to accommodate the flow. We will suggest an ‘optimal’ staffing level, in order to ensure a smooth flow, minimum waiting time and maximum fun for your group.• Employees are billed per hour, minimum of 4 hours. A minimum of 4 employees are required. Depending on size of group or length of event, more may be required. Their function during the event are as follows:
o Man the Central Cashier: processing payments and redemption of gift cards, tracking redemptions
o Play Hostess, greeting the guests and answering questions, explaining procedures
o Resolve any issues and support artists, control traffic flow.
• Artisans are billed per hour, minimum of 4 hours. Depending on the number of people, length of the event, and group preferences, the number of participating artists are flexible.

Payment Schedule: 80% deposit up front and the balance upon reconciliation. We require a guarantee number 1 month prior to event. This number can fluctuate by 10% up to 2 weeks out from program

If the actual numbers fall below guarantee number, there will be no refund. If numbers come above guarantee, we will bill for additional numbers. However, it is critical to estimate the correct quantity of people, as the artists will be making inventory based on the guarantee number. If it is underestimated, we run the potential of not having enough choice, variety, and inventory to provide all guests with a larger field of choice.

How it works A gift certificate for each of your guests is ‘pre-purchased” in advance. Minimum dollar value is $30.00, in multiples of $10.00 thereafter.• We will ensure that, between all the artists, we will have enough to cover the quantity of people in the group. (about 5-10% above). So, for example, if group is 200 people, then we need to ensure that there are 240 items in total between all artists at the price range. We will ensure that everyone can go into the event with the gift card and be able to walk out with something at the price range and not have to pay extra.
